Excuse #1 - Why do I need email backup and archiving? Our email is in the cloud, so it is all backed up.

Not so fast! Microsoft Office 365 (and other cloud-based solutions) are only responsible for infrastructure, but not the data. There are data protection gaps such as deleted files are only back up for up to 30 days (or few extended period if asking for Microsoft’s admin help with long lag time and uncertainty). Some use the recycle bin to ‘archive’ emails, which is a dangerous work-around. And it neither cannot fully protect you from data deletion out of the recycle bin, nor ransomware attacks that encrypt all your email.

 

Excuse #2 - Email backup and archiving are not a high priority product for us right now.

What’s a higher priority than protection from data theft, cyberattacks, accidental file deletion and ransomware? It’s no longer a matter of IF you will lose data — it’s WHEN. Recent news of data loss happening to large enterprises with internal local IT teams like airline companies, credit card companies, retails, are showing up more and more frequently. Anti-virus and endpoint security products are good, but they cannot guarantee you will never lose your data. Human error, mass file deletion, and ransomware (if Microsoft 365 security features are not well configured by qualified Cloud Solution Provider on the first ), all can cause major downtime and potentially lead to lost revenue and business opportunities. Have a backup and archive safeguards a copy of your data in the cloud — allowing you to recover all of your missing, lost, stolen, ransomed or deleted data in just a few clicks.

 

Excuse #3 - I will order email backup another time and it is an extra cost. I cannot afford it.

There is no better time to protect your data like the present. Threats to data loss have never been higher. Why risk a disaster? Protecting all your Office 365 data now - before it is too late - ensures you are the data hero later if you get attacked. After all, downtime can impede business goals and hurt customer trust. You cannot afford not to backup your data. It is no longer a matter of if, but when you will experience an Office 365 data loss event. For less than the cost of a cup of coffee per seat per month, you will never have to worry about losing your O365 data again. If you think about what a disaster it could be if your business lost email data, or had it held hostage, the few dollars per month for protection is well worth it.

 

Excuse #4 - We are not a regulated industry, so email backup and archiving is not required.

It is not about regulations. It is about protection from data loss as well as complying with any legal or third party requests (GDPR, etc.). The same tool used for archiving is key component in GDPR response and compliance. All businesses can benefit from email archiving to avoid costly legal actions or GDPR fines. Some might say that they have no users or customers in Europe, so they do not need GDPR tools, but in fact, that is dangerous and false assumption. If at any time, any European Union resident, provided personal information into any of your prospect, vendor or business partner systems, GDPR applies. You must comply with GDPR regulations in that case, no matter where your users or customers are based. Having a tool that can include saved searches and alerts to scan on-going for GDPR data is critical to keeping in compliance with the law.

 

 

Excuse #5 - Backing up my email data in the cloud is unsafe.

Believe it or not, lot of IT admin and business stakeholders nowadays are still tinkering around with this legacy thinking. Storing data in a single location or a local server on-site could be unsafe due to lack of stringent data center, local environment security control and execution of compliance policy. On the other hand, some market-proven cloud backup solutions use military-grade TLS or SSL connections and AES 256-bit encryption to protect data in transit and at rest. The servers are specifically designed for large-scale storage of data, i.e., if there are disruptions at the local level, it would not cause issues with your cloud-based data.
